Project Overview
Context: Extenteam is a company that provides guest communication services for vacation rental homeowners. Entryway is a zero-to-one recruitment platform designed to streamline the hiring process for Dedicated Team Members, such as customer service representatives.
Objective: The goal of Entryway is to simplify the recruitment process by presenting customers with three carefully vetted candidates, each supported by AI-driven interview summaries and insights. This helps customers make faster, more informed hiring decisions without the hassle of sifting through numerous applicants.

Problem Statement
User Pain Points: Vacation rental homeowners need reliable customer service representatives but often lack the time and resources to efficiently evaluate numerous candidates. The traditional hiring process is time-consuming, requiring multiple interviews and extensive vetting.
Business Impact: Lengthy hiring cycles lead to delays in filling critical roles, potentially affecting service quality and business operations. There was a need for a streamlined, high-quality recruitment solution to support business growth and customer satisfaction.

Design Approach
Research & Discovery: Conducting user research and gathering insights posed a unique challenge due to Extenteam's fully asynchronous working model. With team members scattered globally, I relied primarily on recorded interviews and detailed documentation to gather information about user needs and business objectives. This necessitated careful synthesis of diverse sources to build a comprehensive understanding.
Personas & User Stories: I developed personas representing busy homeowners and Extenteam recruitment staff, each with specific goals and frustrations. User stories mapped the ideal end-to-end experience for reviewing and selecting candidates.
Ideation & Strategy: I conceptualized Entryway to leverage AI for analyzing interview data and providing succinct, insightful summaries. This approach enables users to make quick, confident hiring decisions without extensive back-and-forth.
Design Process
User Flows & Wireframes: I created detailed user flows to visualize key tasks such as reviewing candidates, watching interview recordings, and extending offers while emphasizing AI-driven candidate insights. These flows helped identify critical touchpoints where AI could enhance decision-making.
Design System Integration & Expansion: I worked within an existing design system while building new components to support Entryway's unique needs. This ensured a cohesive visual language across the platform, maintaining consistency and scalability while establishing a future-proof design strategy.
Prototyping & Testing: I developed interactive, high-fidelity prototypes in Figma to effectively communicate design concepts and user flows to the team. These prototypes facilitated asynchronous feedback, providing a clear visual and interactive reference in a fully remote environment, enabling thorough testing and rapid iteration.
Iteration & Feedback: By leveraging insights from the existing user base and internal recruitment specialists, I adopted a strategic approach. Given that the company was already operating successfully without a digital interface, we prioritized a lightweight solution that could be developed rapidly and deployed within weeks. This allowed us to validate core functionality with real users before engaging in more extensive research and iteration.

Current State: The platform is in the final stages of development, with a targeted launch set for the coming weeks. Initial testing has yielded positive feedback from stakeholders, positioning us well for release. Development efforts are now focused on final refinements to ensure a smooth, high-quality launch.
Next Steps: Following the launch, we will focus on gathering actionable insights from real-world use, collaborating closely with select customers to validate core functionality and identify enhancement opportunities along with tracking key metrics. Our goal is to iterate quickly post-launch, ensuring the product evolves based on actual user needs while maintaining a scalable, future-proof design.
